Contract Award Checklist
- Contract Finalization: Translate negotiated terms into the contract. Ensure all verbal agreements are formalized in writing.
- Stakeholder Sign-Off: Get formal approval from the budget owner, legal, compliance, and executive sponsor before signature.
- Supplier Notification: Notify the winning supplier(s) and unsuccessful bidders. Offer debriefing sessions.
- Transition Plan: Document the implementation timeline, responsibilities, milestones, and risk mitigation measures. Appoint a project manager.
- Communication: Announce the new contract/supplier to all relevant internal stakeholders. Provide ordering instructions, contact points, escalation paths.
⚠️ Exit Planning: Always have an exit strategy ready BEFORE you need it. During the sourcing event, identify backup suppliers and understand switching costs. A buyer who cannot credibly threaten to leave has no leverage - and a buyer who leaves without a plan creates a supply crisis.
