Structured Communication Throughout the Process
Internal stakeholders and suppliers need different types of communication at each phase of the sourcing event.
Phase-by-Phase Communication Matrix
| Phase | To Suppliers | To Stakeholders |
|---|---|---|
| Pre-RFx | Market sounding, NDA, scope briefing | Kick-off meeting, objective alignment |
| RFx Launch | RFx package, Q&A process, deadlines | Evaluation team confirmation, schedule |
| During RFx | Centralized Q&A (shared with all) | Weekly progress update, risk flagging |
| Evaluation | Acknowledgment of receipt, timeline confirmation | Scoring workshops, shortlist recommendation |
| Negotiation | Structured negotiation framework | Strategy validation, BATNA confirmation |
| Award | Winner notification; losers: debriefing | Final recommendation, sign-off |
| Ongoing | QBR planning, performance reviews | Savings tracking, performance summary |
✅ Stakeholder Communication Cadence
Establish a regular update rhythm: weekly progress emails, bi-weekly steering committees, milestone presentations. The worst thing is for stakeholders to hear about issues from someone other than procurement. No surprises = trust.
