Strategic Sourcing Is a Team Sport

Procurement cannot and should not operate in isolation. Every sourcing event requires the engagement of multiple internal stakeholders.

Key Stakeholders to Map

  • Sponsor / Decision Maker: The executive who owns the budget and has final authority. Must be engaged at launch and at key milestones.
  • End Users: The people who actually use the product/service on a daily basis. They know the real pain points and quality requirements.
  • Finance: Validates the baseline, savings calculation methodology, and budget impact. Essential for credibility.
  • Legal: Reviews contractual terms, compliance requirements, GDPR implications. Involve them early to avoid delays.
  • IT / Operations: System integration, change management, implementation logistics.
  • Compliance / ESG: Anti-bribery regulations, supply chain due diligence, sustainability requirements.

The "Internal Selling" Challenge

Procurement must "sell" the sourcing event to internal stakeholders. Many operational managers are resistant to change. Your pitch must address:

  • What's in it for them? Better price, better quality, better service, reduced risk. Frame it in their terms.
  • What do they need to do? Be clear about the time investment: interviews, specification review, evaluation.
  • What are the risks of inaction? Auto-renewal at unfavorable terms, price drift, compliance risk exposure.
  • How will you protect continuity? Transition plans, parallel running, pilot phases.
