The 7-Step Strategic Sourcing Process

A Logical, Sequential Framework

The Strategic Sourcing process follows a logical sequence. Each step builds on the previous one, and skipping steps is the most common cause of sourcing event failure.

Step 1

Category Profiling & Spend Analysis

Understand what you buy, from whom, at what price, and under what terms. Build the baseline.

Step 2

Supply Market Analysis

Map the supplier landscape: key players, market dynamics, trends, risks, and innovations.

Step 3

Sourcing Strategy Development

Define your approach: single-source vs. multi-source, competitive tender vs. negotiation, local vs. global, make vs. buy.

Step 4

RFx Process (Supplier Engagement)

Design and execute the appropriate competitive process: RFI, RFQ, RFP, or reverse auction.

Step 5

Evaluation & Negotiation

Analyze responses, shortlist suppliers, conduct negotiations, and select the winning supplier(s).

Step 6

Contract Award & Implementation

Formalize the agreement, ensure transition to the new supplier/new terms, manage change.

Step 7

Performance Management & Continuous Improvement

Measure, evaluate, and drive supplier performance through KPIs, SLAs, QBRs, and relationship management.

⚠️ Critical: These steps are sequential for a reason. You cannot negotiate effectively without a baseline (Step 1), and you cannot build a sourcing strategy without understanding the market (Step 2). Shortcuts lead to poor outcomes.
